Enrolment labels
Labels classify enrolments for staff lists, the attendance roll, and reporting. They sit alongside the enrolment kind (Active, Casual, or Waitlist) - for example a casual booking can carry a Trial or Makeup label without changing how billing dates work.
Cadence ships two built-in labels: Trial and Makeup. Add your own organisation labels for things like scholarships or sibling arrangements.
Built-in labels

Creating organisation labels
Section titled “Creating organisation labels”- Open Workspace Settings → Enrolments.
- In Enrolment labels, select Add label.
- Enter a Name and optional Description.
- Set a Code as a short identifier for reporting (lowercase letters, numbers, hyphens, or underscores).
- Choose where the label appears:
- Show in staff portal - enrolment lists and edit screens
- Show in customer portal - family-facing surfaces when your organisation uses them
- Show on attendance roll - badge on the roll when the member is listed
- Select Save.
Edit or delete organisation labels from the same list. Deleting a label removes it from future use; check existing enrolments before removing a label your team still relies on.
Applying labels on an existing enrolment
Section titled “Applying labels on an existing enrolment”Open an enrolment from an activity, member, or household record. In the edit drawer, use Organisation labels to add or remove your organisation’s labels.
Capacity limits per label
Section titled “Capacity limits per label”Label limits cap how many overlapping enrolments with a given label can occupy places on an activity.
For example, you might limit the number of Trial enrolments to 1 per activity to only allow one trial into an activity at a time. At the same time, you might limit the number of Makeup enrolments to 2 per activity, as these would be students who are already enrolled and don’t usually need as much support to get into the activity.
Organisation and location limits
Section titled “Organisation and location limits”- Open Workspace Settings → Enrolments.
- Under Organisation Limits, select Add limit, choose a label, and set the maximum number of overlapping enrolments with that label.
- Under Location Limits, open a location and set limits that apply only at that venue.
Organisation limits apply unless a location or category sets its own limit for the same label.
Category limits
Section titled “Category limits”- Open Workspace Settings → Categories and select a category.
- In the category settings, find the label limits section.
- Add or adjust limits for labels that should be capped in activities under that category.
Category limits can inherit from parent categories. The category sheet shows which limits are inherited and which are set on that category.
Structural capacity checks
Section titled “Structural capacity checks”Separately from label limits, your organisation still controls whether Active and Casual enrolments count toward activity capacity:
- Organisation → Preferences → Capacity checks
- Overrides on Organisation → Locations and Workspace Settings → Categories
Waitlist enrolments do not consume capacity spots.
When a label limit blocks a booking
Section titled “When a label limit blocks a booking”If a proposed enrolment would exceed a label limit, Cadence blocks the booking and explains which label is full. Choose a different session, remove another labelled enrolment, raise the limit if your organisation allows it, or ask an administrator with capacity override permission to approve the booking when appropriate.
