Vouchers
Vouchers are bookable credits you issue to a member or household. Redeeming a voucher creates a casual enrolment at no charge - useful for makeup classes, complimentary visits, or other credits your organisation tracks outside normal tuition.
Makeup absences can also auto-issue vouchers. See Makeup enrolments for that flow.
Voucher types
Section titled “Voucher types”A voucher type is the template your team issues a voucher from.
- Open Workspace Settings → Vouchers.
- In Voucher types, select Add Voucher.
- Fill in:
| Field | Meaning |
|---|---|
| Name | What staff see when issuing the voucher. |
| Description | Optional notes for your team. |
| Default uses | Suggested number of redemptions when issuing (at least 1). |
| Issue to | Member, Household, or Member or household - where staff may issue this type. |
| Default expiry (optional) | Days or months after issue, used when staff leave expiry blank. |
| Tag enrolment with | Enrolment labels applied when the voucher is redeemed (for example a custom Scholarship label). |
| Restrictions | Optional allowlists for locations, sports, programs, categories, or levels. Empty means all. |
- Select Save.
Issuing a voucher
Section titled “Issuing a voucher”From a member
Section titled “From a member”- Open the member and find the Vouchers card on Overview.
- Select Issue voucher.
- Choose a Voucher type that allows member issue.
- Adjust Uses, optional Expiry, and an optional Note.
- Select Save.
From a household
Section titled “From a household”- Open the household.
- Use the Vouchers summary on Overview, or open the Vouchers tab.
- Select Issue voucher.
- Choose a type that allows household issue, set uses and expiry, then save.
Only voucher types whose Issue to setting matches the workspace appear in the list. Issued vouchers belong to either a member or a household - never both.
When you leave expiry blank, Cadence applies the type’s default expiry if one is configured.
Editing and deleting issued vouchers
Section titled “Editing and deleting issued vouchers”Edit Uses, Expiry, and Note from the vouchers panel. Uses cannot drop below the number already redeemed.
Delete a voucher only when none of its uses have been redeemed. Makeup-generated vouchers show a Makeup badge so staff can tell them apart from hand-issued credits.
Booking with a voucher
Section titled “Booking with a voucher”- From the vouchers panel, select Book (on a household voucher, pick which Member is attending, then continue).
- Cadence opens checkout with the household, member, and voucher already selected.
- Choose the activity (and session when required). Restrictions on the voucher filter which activities are eligible.
- Confirm checkout. Cadence creates a casual enrolment at $0 and records the redemption.
The checkout line shows a Voucher badge and remaining uses. Voucher lines do not use a fee schedule or discount controls.
Labels configured under Tag enrolment with (on the type, or overridden on the issued voucher) are applied to the enrolment when it is created. Makeup vouchers always include the built-in Makeup label as well.
Voucher statuses
Section titled “Voucher statuses”Issued vouchers appear as:
| Status | Meaning |
|---|---|
| Active | Has remaining uses and is within its valid window. |
| Depleted | All uses have been redeemed. |
| Expired | Past its expiry date. |
| Type archived (still redeemable) | The type was archived; remaining uses still work. |
Toggle Show inactive on the member or household vouchers panel to include depleted and expired vouchers.
Common problems when redeeming
Section titled “Common problems when redeeming”Cadence blocks redemption when the voucher is expired or depleted, belongs to a different member or household, fails a restriction (location, sport, program, category, or level), or would exceed an enrolment label capacity limit. Fix the mismatch, choose another activity, or issue a fresh voucher as needed.
